Translate outgoing email

I would like to translate all outgoing email from the system.
Example: New Maintenance Status: Completed, Notification, Scheduled , In progress , Update)
I notice that some of the text is translated, but not all.

For example: under phrase I can see Paul Schmidt (the name) but can't find his descriptor / can't find it under a separate Phrase.

Is there a way to automate the translations without new phrases going into the Pending queue?

Hi, when new words are added to our French and Spanish sites, they go into "pending" and I manually have to check off the phrases (I have to do Select All) and then approve them. I don't know my target languages and we are using machine translations. Can we just have all phrases get automatically approved and translated without manual intervention? If the client complains that something is mis-translated, then we'll work with them on individual words that will trump the machine translations.

How do I keep my translations from going "stale" and disappearing when my web application is rarely used?

Hi, we have a web application that is used only during an annual process, so it gets accessed only for a couple months of the year and then it's fairly unused the rest of the time. We made a separate version for France (in French) and for Mexico (in Spanish). When people access these sites after several months, it seems like all the translations are gone and we need to go through this process again where we click all over the system and phrases get "pending" in Localize, and we need to approve, etc. Why does this happen? Is there any way to turn this feature off so our translations will "stick" all year long?
